Job Title: Administrative Assistant 4 (AA4)
Location: Aberdeen, WA - Harbor Heights. Regular on-site attendance is required.

Salary: $4,542 - $6,107 Monthly. The salary listed does not include an on-site 24/7 facility 5% premium.

We have an opportunity for a professional to take the next step in their career, where they would get the awesome responsibility to standup a new Juvenile Rehabilitation (JR) location, Harbor Heights.

The Opportunity:
Harbor Heights continues to grow and strengthen its operations as a Juvenile Rehabilitation facility serving young people across Washington State. We are seeking a seasoned Administrative Assistant 4 to serve as the principal administrative partner to the Superintendent.

This role functions with delegated authority for higher-level administrative matters and plays a key role in ensuring operational stability, compliance, and coordination across the campus. The position requires discretion, sound judgment, and the ability to manage complex processes in a structured, performance-driven environment.

This is a leadership-level administrative role for a professional who thrives in a dynamic setting and understands the importance of precision, confidentiality, and follow-through.

Some of what you'll be doing:
  • Provide confidential executive-level administrative support to the Superintendent and direct reports, including delegated signature authority on designated administrative matters.
  • Manage and prioritize the Superintendent’s calendar, email, travel arrangements, meetings, and professional commitments.
  • Prepare correspondence, reports, presentations, and background materials for executive meetings and external engagements.
  • Coordinate and process fiscal activities including travel reimbursements, invoices, purchases, contracts, and budget tracking within approved guidelines.
  • Serve as liaison with Human Resources on recruitment, onboarding, personnel actions, background checks, and confidential records management.
  • Monitor contracts and contractors, maintain tracking systems, and ensure compliance with policies, procedures, and records retention standards.
  • Coordinate office operations including facility access, inventory management, training and certification tracking, and internal process improvements.
  • Facilitate communication and coordination with internal and external stakeholders, including responses to records requests, public disclosure inquiries, and executive correspondence.

What we are looking for:
Four (4) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
OR
One year as an Administrative Assistant 2
OR
Two years as an Administrative Assistant 3
AND
  1. The ability to take action to learn and grow.
  2. The ability to take action to meet the needs of others.


In addition to those required qualifications, our ideal applicant will also have some or all of the following skills and/or abilities:
  • Bachelor’s degree in business administration, public administration, or closely aligned field.
  • Three years of administrative or supervisory experience
  • Previous demonstrated work experience as an Administrative Assistant or Secretary within a JR facility or residence.
  • Proficiency in Microsoft Office Suite, SharePoint, Teams, Zoom, and Adobe Acrobat.
  • Strong organizational skills and ability to manage multiple competing deadlines.
