The Department of Corrections is looking to hire an Administrative Assistant 3. This position is based at Bellingham Reentry Center in Bellingham, WA. The hours of work for this position are 8:00a.m. - 5:00 p.m., Monday through Friday.

Reporting directly to the Reentry Center Manager (RCM), the Administrative Assistant 3 (AA3) provides complex confidential secretarial services, assistance to the RCM and oversees clerical support operations.

Directly responsible for providing administrative office support to the RCM for the overall management of the custody staff, community corrections staff, maintenance staff, and food service staff.

As an Administrative Assistant 3, some of your duties will include:

Provide administrative support to the Reentry Center Manager (RCM} and staff at Bellingham Reentry Center:

  • Assist the RCM. Prepare Personnel files, prepare System Access Requests, Personnel Alert emails, employee criminal history requests, emergency contact sheet, and account for supplies and equipment for incoming or outgoing staff. Assist in the staff hiring process. Serve as LID Coordinator.
  • Maintain inventory control
  • Prepare reports as needed.
  • Monitor special projects and request system reports.

Monitor and maintain office budget and business reports.

Process incoming/outgoing residents at Bellingham Reentry Center.

Responsible for reentry center residents’ banking process.

Perform other duties as assigned*

Qualifications

Required Qualifications

  • High school graduation or GED

AND

  • Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work
  • Proficiency with computers including Microsoft Office Suite and Power Point. Strong organizational and people skills.
  • Familiarity with the internet and email programs.
  • Excellent written and verbal communication skills; and
  • Possess and maintain a vehicle operator's license valid in the state of Washington.

Preferred Qualifications
  • One (1) or more years’ experience with Microsoft SharePoint.

  • An AA Degree or higher In Office, Business Administration, or related field.

  • Prior WA DOC experience.

  • Experience with WA DOC databases, such as OMNI, OnBase, CePrison and Trust Account System.

Special Requirements/Conditions of Employment

  • Maintain regular and reliable attendance.
  • Complete a felony disclosure form prior to employment and submit to a criminal background check.
  • Successfully complete, within mandated timeframes, employee orientation and all other mandatory annual, in-service and other required training.
  • Provide physical residential address and home telephone number to the Department of Corrections.
  • Become familiar and comply with all Department policies and procedures and Collective Bargaining Agreements as applicable.
  • Submit to drug testing in accordance with Collective Bargaining Agreement and agency policy.
  • This position is included in a union shop.

  • Maintain confidentiality of information obtained through job performance as protected by agency policy or state or federal law.

  • Possess and maintain a driver’s license valid in the State of Washington.
