The Opportunity

WSDOT is seeking an Administrative Support professional to serve as a key member of the Environmental Services Office (ESO) Admin Team, providing essential support to more than 100 staff across the division.

In this role, you will perform a broad range of administrative functions, including coordinating travel and meeting logistics, managing event registrations, supporting purchasing and procurement activities, assisting with vehicle fleet coordination, and carrying out office support processes that enable efficient daily operations.

Reporting to the ESO Administrative Assistant 5, this role will work collaboratively within a shared team environment where responsibilities may shift to meet evolving business needs, ensuring consistent and reliable support that allows technical staff to focus on critical program delivery.

What to Expect

Among the varied range of responsibilities held within this role, the Administrative Assistant 2 will:

  • Make travel arrangements for lodging, airfare, state vehicle reservation or rental car reservation; register staff for training, seminars, conferences, and other events requiring registration and/or payment.
  • Track hotel reservations and follow up with necessary payment information.
  • Manage Outlook calendars for conference rooms and state vehicles; schedule and coordinate meetings.
  • Coordinate with appropriate agency staff regarding vehicle maintenance and repair.
  • Coordinate onboarding of new staff includes facilitating building access, obtaining ID badge, keys, computer issuance and network access and telecommunications need.
  • Periodically check the Admin Team In-Box for high priority requests and coordinate with the other ESO Administrative Assistant as necessary to address the requests in a timely manner.
  • Process invoice payments for vendors and employee reimbursements using WSDOT's accounting systems.
  • Use the Purchasing Card (P-Card) to pay invoices, registration fees, payments for supply orders; use the Corporate Travel Account (CTA) credit card to pay for air fare and hotel expenses.
  • Prepare payment vouchers to process Travel Expense Vouchers, employee reimbursements, and vendor invoices.


Qualifications

To be considered for this opportunity, the following competencies are required:

  • Administrative Operations Management: Ability to coordinate office administrative processes including travel arrangements, meeting logistics, onboarding/offboarding support, and scheduling.
  • Financial Transaction Processing & Purchasing Compliance: Ability to process purchases, reimbursements, and financial transactions accurately using agency procedures and systems.
  • Customer Service & Service Delivery: Ability to provide responsive and professional support to internal staff and external partners.
  • Communication & Professional Correspondence: Ability to communicate clearly through written, verbal, and electronic methods with staff, managers, and vendors.
  • Organization & Task Prioritization: Ability to manage multiple administrative tasks, maintain records, and meet deadlines.
  • Collaboration & Team Support: Ability to work effectively within a team environment and coordinate work with staff across offices or divisions.
  • Records & Information Management: Ability to maintain accurate administrative records and manage documents in compliance with agency procedures.
  • Digital Tools & Administrative Systems: Ability to use Microsoft Office and agency systems to support administrative tasks and workflow coordination.
  • Growth Mindset: Actively demonstrates a commitment to learning and growth.
  • Service-Oriented: Takes action to meet the needs of others.


The following qualifications are also required:

  • A valid driver’s license and the ability to operate state-owned vehicles.
  • Ability to maneuver and transport various materials and/or equipment weighing up to 25 pounds.


It is preferred that qualified candidates also demonstrate:

  • Office Logistics & Facility Coordination: Experience coordinating office supplies, mail distribution, and facility maintenance requests.
  • Travel and Event Coordination Experience: Experience arranging travel, conference registrations, and tracking travel reimbursements.
  • Purchasing Card or Expense Processing Systems: Experience using purchasing card systems or financial transaction platforms.
  • Multi-Location Office Support Experience: Experience supporting operations across multiple office locations or teams.
  • Process Improvement & Initiative: Ability to identify opportunities to improve administrative processes or workflows.
