Requirements

This Administrative Assistant 1 performs a variety of administrative duties to support Investment Office (IO) Professionals, primarily focusing on the IO Research Management System (RMS)/Document Management System (DMS) Administrator (System Administrator). The RMS/DMS is a critical system within the IO that provides an environment for storing and sharing information across the IO to help create open communication.

In this role you will be responsible to review invoice for payment, monitor the public and private market mailboxes, enter and store information into the RMS/DMS system, assist in monitoring and tracking system functionality, review error logs, create reports, assist in conducting system testing, monitor expenses, initiate procurement requests, compose and send invoices to the managers, and understand and interpret travel regulations to facilitate travel coordination.

Candidates who will be successful in this role will be able to self-manage daily tasks, possess strong computer skills and can learn new software, and can handle the changing demands of an office support role.

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with 30-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time.

    This position will be required to report to the office 30 days per year and any additional days depending on operational needs.

    In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania.

    If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time.

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university or any equivalent combination of experience and training.
