The Dayton VA Medical Center is seeking a Voluntary Services Assistant to support the Center for Development and Civic Engagement Service.
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/16/2026.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service.
An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.
If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement.
In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization.
Examples of specialized experience includes orders and maintains necessary level of needed forms and office supplies; maintenance of office records and files; Compiles data for reporting purposes; experience inputting data into a computerized database; experience recording and managing physical items such as donation; and utilizing interpersonal communication skills which foster effective working relationships.
NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work is partly sedentary; however, it requires considerable walking throughout the facility, and may involve travel by a vehicle outside the medical facility during the day, as well as some evenings and weekends for the purpose of special programs or volunteer recruitment.
The work involves writing at a desk, sitting in conferences and meetings, standing, walking, bending, pushing a small cart, carrying light items, lifting moderate weighty items(25 -50 lbs), and driving an automobile.

Major Duties:
Duties include but are not limited to: Prepares and compiles a variety of correspondence, reports, replies, meeting minutes, acknowledgements, statistical material, financial transactions, programs, booklets, transmittal and other material in final form and proper format.
Maintains current required files, records and listings of names and addresses of officials of groups, organization and individuals on the local, state, and national level.
Maintains calendar of appointments, meetings, conferences and major events.
Facilitates and assists with the creation and distribution of a monthly event calendar and serves as the main contact for local, civic, social, Veterans Service Organizations, and community partners in terms of scheduling, recording and acknowledging these activities and services.
Collects statistical data for preparation of monthly and quarterly reports and any nonrecurring or special reports.
Enters accurate and timely data into multiple databases and other computerized systems.
Accurately and timely completes equipment inventory surveys and ensures proper documentation of equipment assigned to the CDCE/Voluntary Service department.
Maintains data bases utilized for voluntary service quality reporting, trends, and review.
Communicates and coordinates on behalf of the CDCE/Voluntary Service Officer with services across the health care system, agency representatives (including VHA, VBA, and NCA), and community officials regarding programs, events, and activities.
Responsible for all communications related to the program to include special events; compiling program data and preparing reports; managing monthly activity calendar and all correspondence.
Receives, screens and (when necessary) educates visitors, volunteers, staff, patients and callers, referring them to the proper sources or locations.
Responsible for accurate recording of volunteer assignment, volunteer hours service, corrections of errors and distribution of reports.
Accurately and rapidly records and inputs all donations, physical and monetary, in computerized database within the required time frame.
Orders and maintains necessary level of needed forms and office supplies Independently works on improvement processes with donation distribution interfacing with donors, nurse managers, clinical staff, families and purchase card holders to provide rapid and responsive supplies to individuals in need.
Independently assesses and reports on donation supply chain metrics to report shortages, to inform donors who inquire and to report to purchase card holders.
