This job involves keeping track of work hours, vacation time, and sick leave for healthcare and support staff at a VA medical center in Tomah, Wisconsin, using computer systems to enter data and prepare reports.
A good fit would be someone detail-oriented with basic office experience or education, who is comfortable with typing and basic software like Microsoft Office, and lives nearby or is willing to relocate.
This position is located within the Office of the Associate Director for Patient Care Services (ADPCS) at the Tomah VA Medical Center in Tomah, WI.
Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.
~AND~ In addition to the Typing Proficiency, to qualify for this position at the GS-5 level, you must meet one of the following: Experience: You must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-4) in the Federal Service that has given you the particular knowledge, skills, and abilities required to successfully perform the duties of a Time and Leave Clerk (Office Automation), and that is typically in or related to the position to be filled.
Specialized experience is experience interpreting time and leave regulations and pay entitlements to staff; identifying timecard issues and assisting with correction of problems; and using office automation software such as Microsoft Office (Word, Excel, and Outlook) to enter and retrieve date, prepare documents, etc.
NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates, AND hours worked per week.
~OR~ Education: Successfully completed four (4) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite.
This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university.
One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

~OR~ Combination: Equivalent combinations of successfully completed post-high school education (beyond the second year, in excess of the first 60 semester hours) and specialized experience, as described above, which meet the total experience requirements for this grade level.

Physical Requirements: The person in the position performs sedentary work; however, there may be some walking, standing, bending, or carrying of light times.
The person in the position works in an adequately lighted and ventilated office environment and exercises normal safety precautions. Major Duties:
***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** The major duties include but are not limited to: Maintains the leave and attendance records of registered nurses (RNs), licensed practical nurses (LPNs), nursing assistants (NAs), social work, chaplains, respiratory therapy, administrative and clerical staff; Posts daily approximately 450 Time and Attendance Reports within the Veterans Administration Time and Attendance System (VATAS); Maintains current and accurate data on employee leave status and notifies Nurse Manager/appropriate official when employees are about to exhaust accrued leave; Summarizes and codes the timecards at the end of each pay period, preparing them for signature by the appropriate official; Arranges cards to fiscal specification and consistently meets deadlines in submission to Fiscal Service in the prescribed matter; Initiates new timecards at the beginning of each pay period; Maintains accurate posting of the attendance of each employee from the Tour of Duty Schedules and Acustaff; Initiates corrected timecards with necessary justification when indicated, and obtains appropriate approval; Enters all overtime and compensatory time accurately for employees assigned into VATAS; Provides information concerning time and leave from individual employee records and explains regulations; Serves as an alternate timekeeper in the absence of other time and leave clerks; Participates in the orientation of new timekeepers providing accurate guidance, assistance, and instruction regarding timekeeping functions/duties; Works effectively with personnel of all levels, accepting additional assignments and contributes to a "team effort" in work accomplishment; Prioritizes and organizes individual workflow to provide maximum productivity and meet established deadlines; Maintains VISTA administrative database for new, departing, and transferring staff; Answers telephone and provides information in an accurate and courteous manner; Reviews directives and instructional materials pertaining to timekeeping practices and procedures; Conducts regular inventory of all general office supplies, determining acquisition and replacement needs to maintain appropriate quantities; and, Performs all other duties as assigned.
