Full Job Description

The City of Seattle is seeking a Shop Operations Supervisor (SOS) to oversee multiple shift/multiple team shops at one of four (4) vehicle maintenance shop locations.

Shop assignments will change based on business needs.

This position is primarily an administrative position that relies on detailed knowledge of city fleet equipment, good judgement, organization, and the ability to prioritize and delegate to make sure your team is set up for success.

ABOUT US

FAS is often the public's first interaction with the City of Seattle, operating as a customer-focused front door that assists with everything from paying utilities or reporting a pothole to requesting public information or even adopting a new pet.

The 500-plus employees of FAS span across 10 divisions and work behind-the-scenes providing critical functions, like managing 120 City facilities—including police and fire stations—overseeing the City's neighborhood customer service centers and Customer Service Bureau and making sure minority-owned businesses can equitably compete for City contracts.

No matter the need, FAS is here—at your service.

Requirements

The SOS has several areas of responsibility:

  • oversight of production (triaging emergency breakdowns, planning schedule limits, monitoring team production and removing roadblocks); making final decisions about next steps in a repair process
  • all aspects of employee management (mentoring, resolving conflicts, scheduling calendar management, timecards, vacation authorization, absence tracking, documenting new employee progress, performance evaluations and feedback)
  • assessing workplace safety and ensuring a safe and efficient workplace
  • managing and improving customer experience (collaborating internally and between departments, implementing and improving processes to ensure efficient workflow); acting as a liaison between customers and shop staff
  • facility management (including identifying shop infrastructure needs, coordinating construction/repairs, evaluating tool needs, providing budget impact information for repair/replacement requests)
  • work order management (reviewing notes for accuracy and clarity; final approval of parts, labor, and commercial charges; ensuring all documents are attached; closing work orders in a timely manner)
  • desk coverage at any shop, when necessary

The SOS supervises productive staff, rather than being directly responsible for daily production. The SOS is supported by crew chiefs and senior mechanics, who are directly responsible for production.

This is a leadership position that works closely with other supervisors to manage the whole of the City of Seattle’s Fleet Management Operations.

Additional responsibilities include collaboration with the SOS and Fleet Leadership team to:

  • Develop effective workflows and processes
  • Implement new processes consistently across all teams
  • Design training for new employee onboarding, promotions to leadership (senior mechanic and crew chief roles), and upskilling to meet future technical needs
  • Be a point of contact for leadership from other divisions and departments

The successful candidate will be well organized, a good communicator, and have skills in team building, coaching, and planning to support and inspire their team.
