Full Job Description

This position serves in a developmental position as Secretary to the Associate Chief of Staff (ACOS) and Administrative Officer (AO) for the Geriatrics & Extended Care (GEC) Service, Oklahoma City VA Health Care System.

Provides comprehensive secretarial and administrative support in a dynamic interdisciplinary environment that integrates clinical, educational, and research missions To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/07/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.

For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service.

An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.

If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement.

In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization.

Examples of specialized experience would typically include, but are not limited to: Knowledge of medical administrative procedures, VA policies, and office management practices sufficient to plan and perform the full range of secretarial and administrative functions.

Managing the flow of correspondence, scheduling, and documentation for a complex office.

Proficiency with Microsoft Office applications and VA systems such as VATAS,LEAF process, and VistA Knowledge of GEC operations and the OUHSC academic affiliation sufficient to coordinate administrative requirements and maintain accurate, confidential records.

Works under the general supervision of the ACOS and AO for GEC. The supervisors define overall objectives and priorities.

Applies and adapts guidelines to specific problems for which guidelines are not clearly applicable.

Major Duties:

Duties include but not limited too.........

Executive and Office Management Support Provides principal secretarial support to the ACOS and AO, independently managing calendars, scheduling appointments, and coordinating meetings and conferences involving internal leadership, OUHSC representatives, and other external stakeholders.

Reviews outgoing correspondence for clarity, tone, format, and completeness. Ensures proper grammar, accuracy, and compliance with VA correspondence standards.

Establishes and maintains electronic and paper filing systems for policies, reports, and controlled correspondences.

Serves as the administrative liaison between GEC leadership and hospital services, OUHSC, and other agencies to exchange information, schedule meetings, and resolve procedural issues.

Maintains rosters, organizational charts, and distribution lists, ensuring updates are accurate and distributed timely. Acts as the initial point of contact for the GEC executive office.

Requires Driving Work Schedule: 7:00am - 3:30pm, Monday - Friday Telework: This position may be authorized for telework. Telework eligibility will be discussed during the interview process.
