Job Description

Summary

This job is for an administrative secretary in the U.S.

Marine Corps, where you'll handle scheduling, manage records and correspondence, screen calls and visitors, and use office software to keep things running smoothly in a structured military office.

It's ideal for someone with a year of clerical experience who is organized, detail-oriented, and comfortable following procedures in a team environment.

No advanced degrees are needed, but reliability and basic tech skills are key.

Your resume must demonstrate one year of specialized experience equivalent to the next lower grade level (GS-04) or pay band in the federal service or equivalent experience in the private or public sector performing administrative and clerical duties in an environment where there is a system of formal internal procedures and administrative controls by screening requests for information, providing authorized information from files and records, and advising on established procedures and refer non-routine requests to the appropriate staff member.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. Major Duties:

  • You will remind supervisor and others of scheduled events to ensure prompt and timely attendance.
  • You will make calendar available to supervisor and others to minimize conflicts in scheduling.
  • You will contact other personnel to attend meetings in lieu of supervisor, when necessary.
  • You will screen visitors and incoming calls to determine the nature of requests for ensuring inquiries are properly directed to the appropriate staff.
  • You will establish and maintain office records of various types that may be needed or will assist in the efficient operation of the directorate.
  • You will maintain control records on incoming correspondence or action documents.
  • You will prepare and accurately type correspondence, reports, or similar material from handwritten or electronic drafts, ensuring correct grammar, spelling, capitalization, punctuation and appropriate format.
  • You will review incoming or outgoing correspondence to identify documents requiring higher-level attention, routing, signature, and distribution.
  • You will develop automated reports using a variety of office automation software (e.g., database, spreadsheet, word processing).
  • You will monitor, maintain, or update data, records, or other information in an automated environment.
  • You will maintain and accurately update filing systems to enable quick and efficient retrieval of information.
  • You will coordinate preparation of directives which express the operating policies of the air station.
  • You will be responsible for all on-hand accountable equipment and ensure they are ready-for-use and in serviceable condition.
