This job is for an administrative assistant in a Marine Corps support program on Okinawa, Japan, where you'll handle tasks like editing event calendars, managing purchase cards, coordinating volunteers, and supporting family programs to help Marines and their families adjust to life there.

BASIC REQUIREMENTS: Must be at least 18 years old AND have graduated from high school or been awarded a certificate equivalent to graduating from high school; (Valid documentation will be required upon hire.) A minimum of 1 year experience and knowledge in responsible clerical support work, such as managing files and records, preparing documents and correspondence, receiving visitors or telephone calls, etc.
Must possess a valid driver license authorized for travel in Okinawa, Japan, and have the ability to travel to all Marine Corps camps.
QUALIFICATION REQUIREMENTS: Knowledge of the military lifestyle to include service/unit organization and rank structure and military, family, and personal support services available.
Skills in oral and written communication to include using a variety of computer-based software, interacting with diverse groups and using interviewing and listening skills to assess needs of customers.
Ability to organize/manage multiple projects and a wide variety of office processes. Working knowledge in Microsoft programs such as Word, Excel, etc., and ability to type.
Proven ability to work well in a team environment as well as individually. This activity is a drug-free workplace.

NONAPPROPRIATED FUND POSITION DESCRIPTION JOB TITLE: Administrative Assistant BUSINESS TITLE: Resources Administrative Assistant FLSA: Non-exempt JOB SERIES: 0303 PAY LEVEL: NF-02 INTRODUCTION: This position is located in the Family Programs and Resources (FPR) Unit, Resources Program, Personal and Professional Development (P&PD) Branch, Marine Corps Community Services (MCCS) Division, Marine Corps Installations Pacific-MCB Camp Butler, Okinawa, Japan.
This position is physically located at Camp Foster.
The primary purpose of this position is to assist as the primary editor for the Marine and Family Programs Calendar of Events (COE) publication, serve as a Nonappropriated Fund (NAF) purchase cardholder, coordinate volunteer opportunities at all Resources Program locations, act as a primary point of contact for the Holiday Food Gift Card Program, and perform administrative or clerical tasks to assist the Resources Program.
This position reports to and assists the Resources Manager by performing a wide variety of program support with administrative and clerical processes, allowing for effective program management.
The incumbent must possess general understanding of all MCCS programs and wide knowledge of the various programs, services, and classes provided by the FPR to include: Cultural Awareness and Adaptation, Information and Referral with Relocation Services, and PFM programs.
DUTIES AND RESPONSIBILITIES: Conducts and coordinates initial training for NF-3 Resources Technician new hires to include learning MCCS processes for providing world class customer service, loan locker assistance and maintenance, classroom reservations, course registrations; procedures for opening/closing facilities, set up for in-person Newcomers¿ Orientation Welcome Aboard (NOWA) briefs, Smooth Move workshops, and workplace safety protocols.
The incumbent is required to complete certification for fire warden, Supervisor Safety training, and cardiopulmonary resuscitation training within the first 6 months of hire.
Plans, develops, and coordinates the coupon program within the Resources Program by providing continuous liaison with volunteers and organizations in continental United States to continue receiving coupon donations.
Monitor all Service Members and patrons who assist with volunteer opportunities at all Resources Program locations through sign-ups, tracking hours of completion, creating and submitting letters of appreciation, and providing an itemized list of patrons and hours to the MCCS Volunteer Program Coordinator.
Submits media/marketing/sponsorship requests to various sources of advertising and follows up to ascertain maximum coverage of events and realization of the target population.
Compiles Marine and Family Programs COE inputs, creates format layouts, and verifies content for accuracy, spelling, punctuation and grammar, prior to submitting for review by the first-line editor.
Ensures COE publication is distributed electronically each month by established deadlines. Assists with preparing finalized reports/responses regarding FPR business matters.
The incumbent must understand basic functions of Microsoft Office suite, to include Publisher and Excel, and Adobe computer software.
The incumbent may assist with preparation and submission of maintenance service requests, supply and equipment purchases.
Requisitions include the procurement of goods and services through the utilization of NAF purchase card and the Electronic Purchase Request system.
Maintains MCCS Okinawa FPR web pages by adding new events and updates for all FPR programs. Acts as a social media administrator for FPR and markets MCCS approved events and programs via Facebook.
Assists with maintaining virtual classrooms for NOWA brief and Smooth Move workshop participants.
The incumbent must have the ability to complete the required training for Ektron content management system and Eventbrite event management and ticketing service through the MCCS Management Information Systems department.
Serves as the treasurer for the annual Holiday Food Gift Card Program (HFGCP). Provides and maintains HFGCP records subject to audit and generate a monthly status report.
Establish inventory procedures and serialized records for Defense Commissary Agency (DeCA) gift cards received and distributed.
Coordinates with unit HFGCP representatives to ensure guidelines are adhered.
