A Non-Merit vacancy exists in the Department of Recreation and Parks for an Office Assistant for the Nature and Environmental Centers.

Non-Merit positions are not classified within the Baltimore County Government Classification and Compensation Plan.

Regular Schedule: 34 hours per week. Plus, County benefits.

This position may require working fixed shifts (Monday-Friday) or rotating shifts, which may include at least two weeknights and weekends or holidays as needed.

Definition of Responsibility
This is an in-person position responsible for staffing a public-facing front desk and is not eligible for any regular telework.
Greets and directs clients and visitors to the Nature and Environmental Center. Provides courteous, helpful assistance to visitors and staff.

Requirements

Job Purpose
Under general supervision, performs comprehensive word processing, typing, and other clerical duties in support of the Nature and Environmental Center Region of the Parks Division.

Examples of Essential Duties
  • Answers and routes incoming calls from the Recreation and Parks main phone line.
  • Manages incoming mail and packages by sorting and directing to appropriate recipients.
  • Accepts and logs deposits from various Recreation and Parks sites.
  • Responds to inquiries of a routine nature regarding department programs and policies in person, by telephone, or by regular or electronic mail.
  • Uses automated office systems, such as email, calendar/scheduling, and word processing computer software to prepare a variety of flyers, letters, memos, meeting schedules, and other material from draft or specific instructions.
  • Creates, duplicates, and distributes flyers, letters, memos, and other documents.
  • Establishes and maintains confidential alphabetical, chronological, or subject matter files and records.
  • Assists with registration of programs and/or special events.
  • Assists in the preparation of personnel-related documents and forms.
  • Operates office machinery, such as computers, photocopiers, calculators, telephones, scanners, and printers.
Examples of Other Duties
Creates and maintains office spreadsheets, databases, and logs to track data using Microsoft Excel. Maintains calendars, schedules appointments and meetings, and reserves meeting room facilities or space. Performs other related duties as required.

Qualifications

Education and Experience
Possession of a high school diploma or an appropriate equivalent;
Plus
One year of typing, word processing, or secretarial experience.

Additional experience as described in the essential duties may be substituted on a year-for-year basis for the required education.

Additional education related to secretarial/word processing may be substituted on a year-for-year basis for the required experience.

Preferred Experience
At least one (1) year of experience in a position that requires significant time spent creating and/or transcribing documents using word processing software and extensive telephone and in-person customer service interaction.

Knowledge, Skills and Abilities
  • Knowledge of modern office methods and procedures, including filing systems.
  • Knowledge of spelling, grammar, and arithmetic.
  • Knowledge of creating flyers and other marketing materials using relevant software.
  • Knowledge of word processing.
  • Skill in the operation of office machines as listed in essential duties.
  • Skill in the use of word processing software.
  • Skill in responding to inquiries and handling routine complaints.
  • Ability to communicate effectively.
  • Ability to perform basic mathematical computations.
  • Ability to set up and maintain paper and electronic filing systems.
  • Ability to use automated office systems.
  • Ability to establish and maintain effective working relationships.
  • Ability to type from plain copy at a rate of 40WPM.
