Full Job Description
Under limited supervision, assists the Inventory Control and Records Manager with the fiscal oversight of capital and low value assets, administers quality control review of all department inventory, schedules the coordination and transport of agency records to the Department of Public Safety (DPS) Records Center, and ensures the disposition of records according to applicable retention schedules. Provides support to other administrative and fiscal activities associated with the Office of Financial Services (OFS).
Assists in the administrative management of the department's Inventory Control program. Creates asset shells in the South Carolina Enterprise Information System (SCEIS) for all assets procured, donated, transferred, found, and recovered within the department. Assigns equipment number decals and attaches assets to Shopping Carts in SCEIS. Creates and issues DPS Property Receipt Forms for equipment that meets the State's and department's asset criteria. Performs regular quality control reviews of Property Transfers processed by all department Inventory Liaisons in SCEIS.
Responsible for scheduling, coordinating, and retrieving inactive paper and electronic records from departmental divisions and delivers them to the DPS Record Center. Receives, catalogs, labels, stores, retrieves, and inventories archival records within the DPS Records Center. Assists in the disposition and destruction of paper and stored data in accordance with their retention schedules and applicable State policies and procedures.
Assists in scheduling and distributing the agency's annual equipment inventory reports, sending the annual inventory reports to department custodians, and performing data reconciliation in SCEIS based on inventory report findings.
Provides fiscal support to the Office of Financial Services. Receives cash and checks for the agency. Balances and reconciles receipts before submission to the Revenue Accounting Department. Orders supplies and equipment utilizing the procurement card.
Maintains original retention schedules. Reviews the adoption, revocation, or modification of records tracking processes, Electronic Records Management Systems, and retention schedules and submits findings to the Inventory Control and Records Manager for review. Submits requests to establish specific retention schedules for the department to State Archives for approval.
Maintains and updates data in various spreadsheets and databases. Provides research and reviews reports with detailed asset and records data as required by management.
Requirements
State Minimum Requirements: A high school diploma and relevant program experience.Agency Minimum Requirements: High school graduate and experience directly related to the area of employment. A bachelor's degree may be substituted for the required work experience.
Additional Requirements:
Must be able to plan, organize, coordinate and schedule work assignments.
Must have knowledge of inventory control practices and warehouse safety procedures. Communicates effectively in order to establish and maintain good working relationships with all divisions within the agency.
Works independently with minimum supervision. Must be able to use judgment and initiative to complete assigned tasks. Must be able to set priorities and adapt with short notice.
Must be able to lift 45 pounds and have a valid South Carolina (SC) driver's license. This position may require travel statewide and may require overnight travel.
