Job Description

Summary

This job involves handling the buying process for new and used vehicles and equipment for King County's fleet, managing warranties, resolving issues with suppliers, and providing great support to county departments.

It supports the maintenance and replacement of about 3,000 assets used in public services like roads, parks, and health.

A good fit would be someone detail-oriented with experience in procurement and a basic knowledge of vehicles who enjoys coordinating between teams and ensuring smooth operations.

King County Fleet Services Division has an exciting opportunity for a Purchasing and Warranty Coordinator.

This role will support purchasing and administering the process for new and used equipment and vehicle purchases.

The responsibilities of this position include, but are not limited to, purchase order and contract preparation and processing, issue resolution, reporting and analysis, warranty, failure resolution, and providing superior customer service to all Fleet Services Division customers.

ABOUT FLEET SERVICES DIVISION

The Fleet Services Division manages King County’s portfolio of vehicles and equipment.

The team performs acquisition, maintenance, repair, replacement, and disposal of approximately 3,000 fleet assets for the County’s services associated with the Sheriff’s Office, Public Health, Roads, Parks, Wastewater, Water and Land Resources, and other agencies.

The division manages two maintenance shops which include robust storerooms of automotive parts, materials, and construction supplies as well as several technicians working in the field to support remote customer sites.

In addition, the Fleet Division is responsible for the disposition of the county’s personal property assets, which includes a surplus warehouse in Georgetown.

Disposal methods can include re-use within the county, donation to verified and approved non-profits, and sales through online portals or sealed/negotiated bids.

Requirements

Scope of Job Duties: To be considered for this opportunity, you must at a minimum demonstrate skill and ability to:

  • Provide data and analysis for the replacement procurement process of equipment and vehicles.
  • Research procurement replacement standards and provide options and alternatives including but not limited to electric vehicles.
  • Write purchase specifications for a variety of fleet vehicles and equipment such as cranes, backhoes, loaders, trucks, and trailers. Purchase a wide variety of vehicles and equipment.
  • Assist in developing Invitations to Bid (ITBs) in alignment with customer needs and county regulations.
  • Act as a liaison between customers and suppliers, resolving issues as necessary. Coordinate warranty administration program.
  • Assist in the development procedures for handling failed parts and/or equipment under warranty. And understand warranty terms, policies, and procedures.
  • Process claims for reimbursement and returns for credit on parts, materials, and labor for equipment under warranty.
  • Analyze repair and failure data for vehicles and equipment under warranty to determine trends supporting potential warranty claims.
  • Act as a liaison between customers and suppliers, resolving issues as necessary.

Qualifications

We are looking for candidates who:

  • Have an understanding of vehicles and equipment including light and heavy-duty vehicles and construction equipment use and operation in the public sector, including vehicle retirement and surplus process.
  • Understand public sector contract related principles, procedures, and warranty processes.
  • Have basic understanding of theory and operation of mechanical systems.
  • Understand federal, state, and local laws pertaining to warranty compliance.
  • Understand project cost accounting, project management, negotiation, and records management principles.
  • Have excellent communication skills and can adapt their communication skills to a variety of audiences.
  • Are skilled in using tools to develop, analyze and implement procedures. Gather and manage data.
  • Have a strong customer focus with the ability to build relationships and seek to understand customer needs and priorities and be able to problem solve.
  • Be culturally aware and comfortable having complex and challenging discussions about race and diversity in the workplace. Be sensitive to managing differences and building bridges.

Work location:
This position will be based at the Renton Fleet location (155 Monroe Ave N.E. Renton, WA 98056) and occasional work at the Georgetown Shop (707 S. Orcas St. Seattle, WA 98108). This is not a remote/hybrid position.

Work schedule: This position is 40 hours a week, Monday – Friday; 7:00am-4:30pm. This position is Non-Exempt from the provisions of the Fair Labor Standards Act and therefore is overtime eligible. Employees are paid on a bi-weekly schedule, every other Thursday.
