Job Description

Summary

The Probation Administrative Coordinator supports the mission of the Juvenile Services Division by overseeing the administrative and operational coordination of the Keeping Kids in School (KKIS), Truancy Mediation, and Intensive Diversion Services (IDS) programs.

This position maintains all related contracts, memoranda of understanding, and interagency partnerships; schedules, facilitates, and participates in program administration and operations meetings; and provides comprehensive support for Truancy Mediation, including reviewing records, scheduling mediation sessions, and traveling to school sites to participate in mediations.

Additional responsibilities include:

  • Serving as the Safety Coordinator for the Juvenile Services Division
  • Supporting the coordination, tracking, and documentation of training requirements mandated by the Prison Rape Elimination Act (PREA)
  • Providing general administrative support to the division, including coordinating schedules, ordering supplies, and preparing documents
  • Balancing and distributing petty cash, processing Cal Card documentation, and arranging travel for division employees
  • Cross-training in the essential duties of other administrative staff

The ideal candidate will have experience working in social service programs involving justice-involved youth or adults, can build effective relationships with a diverse population, and will possess many of the following:

  • Strong oral and written communication skills
  • Intermediate proficiency in Microsoft Office applications
  • A flexible and adaptable working style
  • Empathy and a belief in youth development
  • Bilingual English/Spanish skills are desirable but not required

This recruitment is being conducted to fill a Probation Administrative Coordinator position in the Probation Department.

Requirements

Experience: Work experience that would provide an opportunity to acquire the knowledge and abilities listed. Normally, some experience related to general administration, accounting, budgetary analysis, or human resources work including the compilation, tabulation, analysis, and presentation of statistical and narrative written reports would provide such opportunity.

Education: Any combination of course work and training that would provide an opportunity to acquire the knowledge and abilities listed. Normally, academic course work in public administration, business administration, management, accounting, political science, economics, statistics, English composition, psychology or closely related courses would provide such opportunity.

License: Possession of a valid driver's license at the appropriate level including special endorsements, as required by the State of California, may be required depending upon assignment to perform the essential job functions of the position.

The position advertised on this announcement does require possession of a valid California Driver’s License.

Qualifications

Knowledge of: administrative techniques and principles of organization, accounting, budget and human resources administration; techniques and practices of research methodology, data collection, and preliminary analysis; report writing; application and use of basic statistics; interview techniques sufficient to obtain information related to employment and administrative matters; written and oral communications, including language mechanics, syntax and English composition; modern office methods and procedures; database, spreadsheet and word processing applications including basic methods of graphic presentations. 

Ability to: collect, compile and analyze qualitative and quantitative data; understand and explain laws, regulations and policies governing program operations; communicate effectively orally and in writing; establish and maintain effective working relationships with management, employees, clients, and the public; understand program objectives in relation to departmental goals and procedures; organize and prioritize work assignments; use and understand common database, spreadsheet and word processing applications; learn specialized computer applications. 

Certain positions may require the ability to speak, read and write fluent Spanish.

It is the policy of law enforcement and legal offices and departments, in the County of Sonoma, that candidates complete a thorough background investigation process prior to employment.
