Full Job Description

The Community Health Services Division of Public Health- Seattle & King County seeks an Administrative Specialist II-Patient Services Representative, Bilingual English and Spanish to join our fast paced, multidisciplinary, and diverse team at our Eastgate Public Health Center in the delivery of health services to the county’s most vulnerable people. Eastgate is one of the largest primary care centers, where we provide family health, pediatrics, sexual and reproductive health, teen clinics, parent-child health, dental, health insurance enrollment services and Orca Lift. This position is essential to delivering a broad range of health services in a fast-paced public health setting that serves economically, socially, and culturally, diverse communities. Our patients include low-income individuals, people experiencing homelessness, recent immigrants and refugees, those with complex medical needs and individuals with limited English proficiency. As mission-critical staff, we are committed to showing up and providing high-quality care under all circumstances. The successful candidate must have excellent and reliable attendance, stellar customer service skills in-person and over the telephone (discretion, patience, etiquette, and professionalism) and must be a self-starter with excellent time management and organizational skills. The candidate must be able to work with supervisors and colleagues to develop and promote a team-centered atmosphere to facilitate operations which are efficient and provide maximum service delivery to clients. This position may be assigned to work and rotate in different sections and workstations in the clinic. As a member of the clinic team, the incumbent may be asked and is expected to perform these duties at each administrative support workstation at any time.

This position is eligible for bilingual premium pay of $2 per hour for all hours worked. Languages eligible for premium pay include Spanish. To qualify for the bilingual, pay premium applicants must demonstrate be able to read, write, and communicate in English and Spanish without a Spanish interpreter.

Requirements

  • Using Epic Electronic Practice Management/Electronic Health record, fully register new and returning patients, solicit financial and insurance information, verify insurance coverage, add/ or update insurance plan coverage information into patient records.
  • Schedule patient visits by determining the appropriate providers and programs for patients’ healthcare needs.
  • Provide administrative support to assigned care teams, call and schedule patient appointments, update patient PCP information.
  • Perform beginning of day and end of day front desk procedures, cancel or no-show appointments, restock patient documentation,
  • Assist patients with completing paperwork, explaining insurance information, providing information on clinic services, processes and available resources.
  • Perform financial transactions, explain fees for services, sliding scale fees, calculate charges, and process cash or credit payments.
  • Identify when patient needs triage by healthcare staff and quickly identify potential emergencies.
  • Coordinate patient and information flow, while maintaining patient confidentiality and complying with Federal HIPAA laws.
  • Utilize a variety of software programs, including Epic-Electronic Practice Management System, One Health Port Insurance verification (Provider One), and Microsoft 365.
  • Utilize interpreters as appropriate for languages other than Spanish.
  • Perform general office duties such as copying, faxing and other clerical duties.
  • Position will involve active learning and cross-training and will work to support all public health programs.
  • Participate and support program initiatives, process improvements, program related meetings.
  • Attend all required meetings and training courses.
  • Maintain clean and tidy workspace.
  • Other duties as assigned.

Qualifications

Required:
  • Bilingual in English and Spanish (skills will be tested)
    • This position is eligible for bilingual premium pay of $2 per hour for all hours worked. Languages eligible for premium pay include Spanish. To qualify for the bilingual, pay premium applicants must demonstrate sufficient language proficiency.
  • One (1) year of healthcare experience, preferably in a medical practice or clinic setting, ideally in primary care, within the last five years.
  • Demonstrated ability to identify, spell and pronounce basic medical terminology
  • Experience with Electronic Practice Management Systems (EHR), patient registration, appointment scheduling and financial transactions
  • Skilled at respectfully interacting with people of diverse backgrounds, including individuals with limited English proficiency and those experiencing homelessness
  • Proficient in navigating computer systems, including Microsoft Office 365, web-enabled tools.
  • Able to communicate effectively, both orally and in writing with patients, staff and community
  • Consistently demonstrates regular and reliable attendance
  • Knowledgeable in maintaining confidentiality and HIPPA compliance
  • Strong attention to details.

Work Schedule

This position works Mon, Tues. Thurs and Fri 8:00am-5:00pm, and Wed, 9:00am-6:00pm. This position is non-exempt and eligible for overtime.

Work Location

This position is located at Eastgate Public Health Center, 14350 SE Eastgate Way, Bellevue, WA 98007.

Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
