Key Requirements

  • OR One year of state service experience as an Administrative Assistant 2, Human Resource Assistant 2, or Data Compiler 3
  • OR Two years of state service as an Administrative Assistant 1, Human Resources Assistant 1, or equivalent with supervisory duties
  • Strong skills in facility operations, budget control, purchasing, and vendor coordination
  • Ability to supervise clerical staff, conduct performance evaluations, and manage personnel issues per policy and union guidelines
  • Excellent communication and liaison skills with internal teams, external partners, building managers, and community stakeholders

The Vancouver Clark DCYF Office is looking for a highly organized and dynamic Office Manager. The Clark office has a lot of energy, positivity, and strong office cohesion. The Opportunity:
In this role, you will supervise a clerical team that facilitates the daily operations of a large office. Additionally, you'll provide direct support to managers, complete document preparation, and participate in budget/expenditure control, equipment/supplies purchases, and report preparation.

Some of what you'll do:
  • Coordinate multiple aspects of the day-to-day facility operations and reports directly to the Area Administrator.
  • Coordinate front-end purchasing requests through the regional business center for approval.
  • Review the need for equipment and make recommendations to the administrator and management team for large-dollar items.
  • Coordinate with vendors for purchases of equipment, supplies, and services.
  • Coordinate, review, and ensure adequate reception coverage.
  • Provide clear and consistent direction and training, holding regular unit meetings, and providing ongoing and annual performance evaluations.
  • Manage personnel issues following administrative policy and union guidelines.
  • Ensure clear communication and coordination between support staff and other units to ensure the most effective delivery of services.
  • Acts as the direct liaison with the building managers, vendors, contractors, regional business center, agencies, and others regarding maintenance of the DCYF offices.
  • Act as vehicle coordinator, including working with regional and headquarters staff regarding mileage, tracking, accident reporting, and maintenance scheduling for state vehicles.


What we're looking for (Required Qualifications):

Equivalent education and experience totaling five years of experience involving responsibility for planning, organizing, and coordinating work in a business office.

One year must include supervisory experience involving responsibility for planning, organizing, and coordinating work in a business office.

OR
  • Bachelor's degree involving major study in business administration or a closely allied field AND one year of supervisory experience involving responsibility for planning, organizing, and coordinating work in a business office.
OR
  • One year of experience in State service as an Administrative Assistant 2, Human Resource Assistant 2, or Data Compiler 3.
OR
  • Two years in State service as an Administrative Assistant 1 or Human Resources Assistant 1 or equivalent, involving supervisory or office management responsibility.
AND
  • The ability to take action to learn and grow.
  • The ability to take action to meet the needs of others.


Preferred/Desired Qualifications:

  • Previously demonstrated supervisory experience.
  • Previously demonstrated experience operating a computer, keyboarding, and utilizing Microsoft Office products.
  • Previously demonstrated experience drafting, editing, and sending electronic correspondence.
  • Previously demonstrated experience in editing, proofreading, and drafting memos and other forms of written documents.
  • Previously demonstrated experience in prioritizing multiple assignments in an office environment.
  • Previously demonstrated ability to operate vehicles for maintenance/repair transport.
  • Previously demonstrated ability to handle inquiries and complaints promptly and professionally.
  • Previously demonstrated ability to maintain confidentiality in all aspects of the job.
