Full Job Description

Under general supervision, perform moderately complex and semi-specialized clerical support duties.

Requirements

  1. Types from rough draft, important, and/or confidential correspondence and reports.
  2. Determines the pertinence, adequacy, arrangement, and form of reports or correspondence, requiring familiarity with departmental rules, policies, and procedures.
  3. Proofreads and checks the accuracy of work.
  4. Determines the classification of material for filing.
  5. Performs filing of correspondence, records, and reports.
  6. Maintains records in databases, spreadsheets, and logs, requiring knowledge of departmental practices and procedures.
  7. Maintains confidential records and files.
  8. Determining eligibility through verifying documentation.
  9. Screens telephone calls and visitors and assists with nontechnical inquiries
  10. Creating new user profiles and deactivating user profiles in Telestaff
  11. Configuring, testing, and maintaining the Telestaff application (work codes, shifts, rosters).
  12. Managing daily or long-term staff scheduling to meet minimum staffing levels while ensuring adherence to labor laws and union contracts.
  13. Managing employee bidding processes for shifts, vacations, and overtime, often using specialized auction features.
  14. Generating data-driven reports on overtime, staffing patterns, and payroll accuracy.
  15. Providing user support, troubleshooting system issues, and conducting training for employees.

Qualifications

Qualifications (required):

  • High School graduation or G.E.D. (General Educational Development) equivalent with coursework in typing, keyboarding, word processing, and office management or business related subjects.
  • Two (2) years of recent office experience performing moderately complex clerical and office work.
  • Two (2) years of law experience.

Qualifications (preferred):

  • Experience in a City department.
  • Two (2) years of college courses preferable with proficiency in Microsoft Office products.
