Hourly Salary: $22.62-$29.96

Monthly Salary: $3,936.00-$5,213.00

Schedule: 7:00am-3:30pm (0700-1530) Monday-Friday (Saturday/Sunday off)

The Washington State Department of Corrections is seeking a highly motivated and qualified individual for the Office Assistant 3 position at the Stafford Creek Corrections Center located in Aberdeen, WA.


The Health Records Unit individuals are tasked to support the DOC’s Mission to “enhance community safety, reduce victimization and hold incarcerated individuals accountable through the administration of criminal sanctions and effective correctional programs.” Responsible for the development and administration of criminal sanctions and health records in accordance with DOC policy, state/federal statutes, ACA standards and established required regulatory standards at SCCC.


Under the direct supervision of the Health Records Technician 2, this position supports the Health Services DOC mission by ensuring that medical records are available, accurate and complete the maximize the use of provider time and meet patient needs.

This position must maintain a calm demeanor in the presence of emotional and/or mentally volatile patients and very busy professional staff.

Support duties and tasks performed by this position must be professional, effective, timely and accurate.

These essential services are the backbone of quality clinic operations and timely patient access to care.

Smooth, timely, uninterrupted patient care is critical to staff due to highly complex and sensitive correlation between patient health concerns, appropriate, timely treatment and behavioral concerns.

Requirements

Incarcerated Individual Health Records Maintenance:

  • Ensure health records are complete, organized, and appropriately filed in alphabetical order.
  • Performs thinning of charts.

Loose Filing:

  • Sorts and inserts all loose filing.
  • Will ensure all loose filing is filed.

Processing Incoming and Outgoing Chains:

  • Using the arrival/departure manifests, pulls charts and overflow records for incarcerated individuals transferring into and out of Stafford Creek Corrections Center.

Incarcerated Individual Release/Departure Preparation:

  • Responding to health records requests from outside sources.
  • Ensures all requests meet HIPPA and DOC protocols.

Other duties as assigned:

  • Special projects as assigned by your supervisor.

Qualifications

Required Qualifications:

  • High School Diploma or equivalent
  • One year verified clerical/office experience.
  • Ability to create opportunities out of problems; think critically and resolve conflict in a professional and rationale manner.
  • Experience working in an office or customer service position in a healthcare/services environment with knowledge and or ability to learn and understand medical terminology.
  • Demonstrate organization and time management skills.
  • Demonstrate proficiency in basic computer skills.
  • Ability to interpret intent of policies, procedures, written, and verbal communication.
  • Ability to work in an open cubicle environment with several interruptions.
  • Can work in a correctional facility being in close proximity of incarcerated individuals.
  • Can support adherence to DOC policy and the Offender Healthcare Plan.
  • Participates in continuous quality improvement program activities as appropriate.
  • Can demonstrate core competencies, attend and complete all required training and participate in Place Safety Musters as appropriate.

Desired Qualifications:

  • Two years of clerical experience.
  • Equivalent educations/experience.
