This position must report to work on-site during scheduled working hours of Monday - Friday, 8am-5pm.

Requirements

Program Coordination:
  • Contribute to the planning, design, and implementation of nutrition initiatives and projects.
  • Coordinates daily operations, workflows, requests, and communications for the Nutrition Services Department.
  • Supports nutrition software configuration to meet program requirements.
  • Analyze data on the effectiveness and outcomes of the nutrition program and track the implementation of necessary changes.
  • Maintains forms, databases, digital filing systems, retention schedules, and program documentation, including confidential documents for Appointing Authorities.
  • Updates and prepares nutrition forms, spreadsheets, nutrition services Google site, recipes, and required documents as assigned.
  • Supports management through day-to-day menu planning work by coordinating the necessary work to create and schedule menu cycles, update inventory items, recipes, etc.
  • Plan, manage, and complete complex work assignments that require analytical decision-making, such as gathering data to analyze the nutrient content of meals and cost per serving.
  • Coordinates with vendors and suppliers to obtain specifications and quotes for equipment or products necessary to support department operations and maintains spreadsheets of available equipment in each program area.
  • Provides administrative and technical support to the Director and management staff.
  • Develops agendas, schedules meetings, takes minutes, and prepares follow-up actions for departmental meetings.
  • Coordinates educational activities, competency fairs, and department events.
Project Management, Quality Improvement:
  • Leads quality improvement initiatives aimed at improving efficiency, compliance, performance, and cost-effectiveness.
  • Designs project plans, timelines, reporting methods, and stakeholder communication strategies.
  • Coordinates updates, training, and change management for the nutrition software system.
  • Collect and analyze nutritional data to identify trends, challenges, and opportunities for improvement.
  • Prepare reports and performance metrics related to the quality of the nutrition program.
  • Report regularly to the Director of Nutrition Services on program performance, challenges, and opportunities for improvement.
Budget and Resource Management:
  • Assists with financial planning, monitors, and tracks the operating budget of more than $4 million.
  • Conducts cost analyses for menu cycles, recipes, diets, and products.
  • Coordinates purchasing processes, P-card allocations, audits, and invoice resolution.
  • Reconciles monthly expenditure transactions and reallocates funding/coding string as appropriate for all purchases and transactions.
  • Ensures compliance with fiscal rules, procurement regulations, and hospital policies.
  • Coordinates with vendors and suppliers to source high-quality, cost-effective nutrition-related products and services
Professional Development, Communication, and Other Duties:
  • Maintains competency by attending required hospital and departmental training, and meetings.
  • Communicate effectively with other departments to ensure the seamless delivery of nutrition services, especially in cross-functional initiatives.
  • Foster a collaborative work environment to promote teamwork and communication within the department.
  • Demonstrates strong verbal and written communication skills by actively listening, sharing relevant information, and engaging in positive and cooperative interactions.
  • Performs other duties as assigned by the Appointing Authority.

Qualifications

Experience Only:
Six (6) years of relevant experience in an occupation related to the work assigned to this position
Or
Education and Experience:
A combination of related education and/or relevant experience in an occupation related to the work assigned equal to six (6) years. Relevant education may include a degree in: Nutrition, Dietetics, Food Service Management, Healthcare Administration, Public Health, Business Administration, Public Administration, or other closely-related field

Preferred Qualifications include:

Three (3) or more years of progressively responsible experience in:
  • Healthcare, institutional nutrition services, or public-sector food service operations (e.g., in a government, hospital, correctional, or behavioral health setting).
  • Program coordination or administration.
  • Demonstrated experience in independently managing or coordinating complex program operations and/or data-driven decision-making processes.
  • Proven ability to serve as a liaison between departments, vendors, leadership, and stakeholders.
  • Experience with developing work plans, timelines, and performance metrics.
Technical and Fiscal Skills
  • Advanced proficiency in Google Workspace applications (Spreadsheets, Docs, Forms, etc.) and data reporting/visualization tools.
  • Experience with developing dashboards and reports to support leadership decisions.
  • Experience using nutrition management software systems (e.g., Computrition, CBORD, or equivalent).
  • Experience assisting with or managing operating budgets of $1M or more.
  • Familiarity with financial processes in a government setting, including:
    • Cost analysis and forecasting.
    • Procurement processes and vendor coordination.
    • P-card reconciliation and invoice resolution.
    • Fiscal rules and procurement policies.
  • Familiarity with structured performance improvement methodologies (e.g., Lean, Six Sigma).
Communication and Interpersonal Skills
  • Strong written and verbal communication skills.
