Job Description

Summary

This role supports the Medical Examiner's office by handling administrative tasks like typing reports, managing records, scheduling appointments, and assisting with sensitive interactions involving families, law enforcement, and legal professionals.

It involves transcribing medical autopsy reports and preparing official documents such as death certificates.

A good fit would be someone organized, detail-oriented, and comfortable with confidential medical and legal information, with experience in office support and basic medical knowledge.

Key Requirements

  • High school diploma or GED plus four years of related work experience, including one year as a transcriptionist
  • Experience as a medical secretary with knowledge of medical terminology
  • Proficiency in word processing, spreadsheet, publishing, and presentation software, with significant Microsoft Excel knowledge
  • Typing speed of at least 55 WPM
  • Strong communication skills and ability to handle multiple tasks
  • Ability to operate standard and automated office equipment
  • Availability for some weekend work

Full Job Description

Provide administrative support to management and all departments to include typing, record and file maintenance and telephone reception. Act as liaison or department representative with clients, other departments and /or vendors.

Requirements

  1. Assists families, attorneys, law enforcement agencies, and Justice of the Peace offices in various counties and funeral homes with pertinent information on cases.
  2. Performs medical transcription of autopsy reports as needed.
  3. Schedules appointments and depositions for pathologists.
  4. Responds to routine requests for information and answers routine correspondence not requiring supervisor’s attention. Refers complex requests to the appropriate staff member.
  5. Assembles relevant data and prepares special reports. Helps prepare audit reports.
  6. Tracks doctors’ compliance on case completion and notifies them of approaching deadlines. Assists Quality Control Manager with proficiency tracking.
  7. Types forms, memos and letters of a technical and/or highly confidential nature.
  8. Organizes and maintains records of supervisor or department/division management.
  9. Receives and screens telephone calls, letters, and visitors and refers to appropriate person.
  10. Prepares death certificates, which requires using the Texas Electronic Registration system mandated by the State. Prepares amended death certificates and issues cremation permits.
  11. Prepares court documents for pathologists.
  12. Gathers and prepares annual statistics for Forensic Administrator and updates statistics using spreadsheets.
  13. Notarizes documents for staff, the majority of which are records for release
  14. Prepares sign-in sheets for morning fatality meetings and mails them to the appropriate agencies quarterly to receive CME credits for five (5) pathologists.
  15. Assists in coordination of International Forensic Program, assisting students with housing and schedules.
  16. Prepares schedules for interns and coordinates with proper Medical Examiner staff for rotation purposes.
  17. Prepares interns’ orientation paperwork.
  18. Keeps and copies information for intern rotations.
  19. Assists in the organization of the Current Trends Forensic Science Conference.
  20. Prepares notebooks for Fellows who are entering the Fellowship program.
  21. Prepares quality control forms for the morgue.
  22. Maintains a list of tissue stored in formalin.
  23. Maintains a log of toxic and non-toxic agents in the building.
  24. Performs other related duties as assigned.

Qualifications

  • High school or GED and Four (4) full-time years of related work experience including one (1) year of full-time transcriptionist experience.

  • Some college preferred. Must be experienced as a medical secretary and know medical terminology.

  • Must have the ability to use word processing, spreadsheet, publishing, and presentation software. Must have significant knowledge of Microsoft Excel.

  • Must have a typing speed of 55 WPM.

  • Good communication skills.

  • Ability to handle multiple tasks and operate standard and automated office equipment.

  • Some weekend work may be required.
