About the Position: This position falls under Defense Health Agency at Naval Medical Center Portsmouth, Directorate of Surgery OB/ GYN and requires general experience with progressively responsible clerical and office duties.

Assisting customers, utilizing a computer, answer telephone, correspond to patients when necessary, scheduling appointments and maintaining files electronically or hard copy, and to provide general clerical assistance.

This is a Direct Hire Solicitation Who May Apply: US Citizens In order to qualify, you must meet the education and/or experience requirements described below.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social).

You will receive credit for all qualifying experience, including volunteer experience.

Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application.

General experience is progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled, such as: receiving calls and visitors, scheduling appointments, filing records, and providing instructions to patients in a medical treatment facility or clinical setting.

OR Education: Two years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.

OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%.

To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of by 60. Add the two percentages.

Proficiency Required: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors. Major Duties:

  • Receives and responds to unclear inquires from patients concerning a variety of medical personnel and administrative matters, determines general nature of inquiry and independently responds to all administrative questions.
  • Refers medical questions concerning patients’ conditions, progress or treatment to physician or nurse.
  • Completes end of day processing by typing data into the Electronic Medical Record.
  • Performs routine patient check-in/checkout procedures using computerized systems.
  • Schedules/makes computerized patients’ appointments using specific scheduling guidelines.
  • Monitors email for updates and changes to appointments and confirms the changes by telephonic or personal communication with physician and patient.
  • Reviews patients’ record for completion of information, assembles medical information according to prescribed sequential order, checks progress notes and doctor’s order sheets for required signatures before initiating clearance of records.
  • Records telephone messages pertaining to such things as detailed laboratory reports, X-ray and test results.
  • Assisting the template management.
  • Assists with obtaining medical records via fax requests from outside medical facilities.
  • Takes appropriate measures to ensure patient/family members/visitor confidentiality and privacy during interactions.
  • Assists in the orientation of new staff members to the unit.
  • Prepares correspondence, messages, and various other unit-specific reports using computer systems.
  • Performs other administrative, clerical, and record-keeping tasks related to patient visits to facilitate efficiency of care using unit-specific guidelines.
