Under general supervision, serves as an admin coordinator for investigations and prosecutions in the State Grand Jury Division.

Manage SGJ Telephone Line and Division Mail: Monitors and oversees the SGJ Telephone Line, providing professional and responsive customer service, additionally ensuring appropriate messages and information is relayed to relevant staff and attorneys.

Responsible for handling all mail to and from the SGJ Division, coordinating with the Attorney General’s Office mail room to ensure mail is delivered to SGJ staff and attorneys.

Manage SGJ Supplies, Provide Operational Support for Information Technology Peripherals, and Manage Other Logistical Needs of the Division: Organizes, procures, and maintains supplies for the Division.

Works with all staff and attorneys to ensure supplies are obtained as needed.

Provides monitoring and assistance in maintaining Information Technology peripherals and provides basic maintenance of various copies, printers, scanners, and miscellaneous electronics located throughout the Division.

Support and coordinate with Support Services and Information Technology Divisions of the Attorney General’s Office to ensure the SGJ Division is functioning as needed and addressing related issues and needs as they arise.

Manage, identify, and address the logistical needs of the SGJ Division, Staff, and Attorneys to ensure the Division's seamless functioning.

File Room, Document, and Evidence Management, Organization, and Retention, and SGJ Term Logistics: Maintains control, access, and organization of the investigative file room, investigative files, and assists Paralegal(s) with documents and evidence, both for discovery and the Office.

Maintain and process the original case file(s) for all of the cases handled by the State Grand Jury.

Assist Paralegal(s) to ensure that all matters that are “Brady” are presented in discovery and are available for the defense to review.

Ensure the maintenance of closed cases and the security thereof and to ensure that all evidence is returned/disposed.

Assist staff as necessary to ensure all State Grand Jury subpoenas are properly served, complied with, and returned or extended as necessary.

Coordinate Transcript and Evidence Reviews: Work with assigned Paralegal(s) and Supervising Attorney(s) to coordinate, schedule, and oversee transcript and evidence reviews of charged SGJ Division defendants: Coordinate and interface with defense counsel representing SGJ defendants to ensure identified discovery materials are made available for review.

Provide necessary assistance and accommodations, technical or otherwise, to ensure a smooth review process.

Supplement Assistance to Paralegal(s), Data Processing, SGJ Discovery and Investigation Assistance and Management: Scans, saves, files, or oversees the scanning, saving, or filing of all investigative, court, and other relevant files into the appropriate computer system on assigned cases in a timely and accurate manner.

Organizes using appropriate tags, categories, or other organizational systems.

Assist in analyzing the documents and evidence, and assist law enforcement and the prosecution in advancing State Grand Jury investigations as assigned by the supervising attorney.

  • Catch-all: Performs other related duties assigned by the Attorney General, Chief Deputy AG, Deputy AG, and Chief Attorney of the State Grand Jury. Assists the Chief Attorney with scheduling and with case-related or non-case related various projects of the Section and Office.

    Requirements

    A bachelor's degree or above; an Associate's degree with at least two years of relevant law enforcement, military, legal, or administrative experience; or a high school diploma with at least four years of relevant law enforcement or military experience.

    Additional Requirements:
    • Position may require some overnight travel.

    Qualifications

    • Knowledge of agency policies, procedures, rules, regulations, and program services.
    • Knowledge of policies, procedures, rules, and regulations related to the specific administrative function.
    • Knowledge of governmental fiscal and personnel procedures, practices, and policies.
    • Knowledge of modern office practices, procedures, and equipment.
    • Ability to coordinate diverse administrative functions.
    • Ability to establish and maintain effective working relationships.
    • Ability to plan, organize, and supervise the work of subordinate personnel.
    • Ability to communicate effectively.
