Full Job Description

This position is located under the Radiology Service at the C.W. Bill Young VA Medical Center, Bay Pines, FL.

The incumbent continuously embraces and supports the mission, vision, and values of the VA Healthcare System. The incumbent serves as a Lead Medical Support Assistant in Radiology Service.

The tour of duty will be established based on demand of the work area.

The incumbent is expected to present to work in a professional manner and timely in accordance with established tour of duty Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.

Basic Requirements: United States Citizenship.

Non-citizens may be appointed when it is not possible to recruit qualified citizens in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.g.). English Language Proficiency.

MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.

Grade Determinations: Lead Medical Support Assistant, GS-7 Experience. One year of experience equivalent to the GS-6 grade level.

The Lead MSA is responsible for the coordination of Advanced MSA assignments and workflow found in an interdisciplinary unit.

The Lead MSA is responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of MSAs to provide support across interdisciplinary settings.

The Lead assists the unit with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, specialties, and/or community resources.

Assignments at this level include, but are not limited to: ensuring accurate and timely scheduling of appointments; providing guidance to staff members, to include changes in policies and procedures; creating and maintaining employee work schedules; and acting as a liaison among Advanced MSA staff, patients, and other interdisciplinary staff to resolve day-to-day conflicts.

For all assignments above the full performance level, the higher-level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time.

Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate all of the KSAs below: 1.

Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources. 2.

Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting. 3.

Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. 4.

Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff. 5. Ability to provide staff development and training. 6.

Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs.

This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.

Physical Requirements: The Medical Support Assistant work is mostly sedentary; however, some walking; standing, and carrying light items are required.

Light filing, sometimes involving working close to the floor, is involved.

Functions or Scope of Assigned Duties a. Conducts quality assurance reviews to ensure staffs are following applicable policies and procedures to include service, facility and VISN policies. b.

Monitors and makes short term work assignments considering staffing levels and competency of staff, provides input on performance, resolves daily workplace issues and maintains efficient workflow by working collaboratively with their Supervisory MSA.

c. Assures coverage of all areas of responsibility for lunch, breaks or absences. d.

Ensures accurate and timely scheduling of appointments by AMSA staff by conducting and documenting routine scheduling audits to ensure staff follow applicable policies and Standard Operating Procedures such as the Scheduling Directives, Insurance Capture Buffer, Radiology specific policies and procedures regarding patient scheduling, intake and order management and reporting findings to the Supervisory MSA and/or section supervisor for actions or follow-up.

Provides guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between MSA and staff to resolve day to day conflicts.

Scheduling Duties i.

Schedules all appointments accurately using the following guidelines: 1) Utilizes VS GUI as primary interface for scheduling of appointments and accurately forwards all RTC Consults to the appropriate Community Care consults for all Veterans eligible for Choice Program that opt-in.

2) Initiates scheduling attempts for all consults within 2 business days of the create date of the consult, once reviewed, and approved by Radiologist and uses the consult toolbox for all documented contact attempts.

3) Initiates scheduling attempts and within 7 business days of the patient identified date for Radiology orders.
