The Department of Judicial Administration (DJA) is recruiting for two seasoned professionals to fill Judicial Services Supervisor roles in Court Services and Financial Services Divisions.

DJA is also known as the Superior Court Clerk's Office, and is an innovative, customer-focus, forward-looking agency that uses technology to help perform tasks better, more efficiently and reliably.

We conduct a variety of services for the Court, litigants, and the general public.

Our mission is to provide high-quality court record services and justice system programs to ensure access to justice and the integrity of the process.

We are looking for individuals with authentic, engaging people skills who bring a strong commitment to excellence in public service and proven success as an inspirational leader.

Each of these positions will produce work and oversee a team of employees who deliver critical court services and administrative support to the judicial branch and their customers.

This selection process will be used to fill two positions: a Career Service position and a Term-Limited Temporary or Special Duty position.

We are looking for candidates with knowledge of:

  • Customer service practices and strategic planning to serve diverse communities.
  • Efficient and practical methods for team building
  • Cashiering practices
  • Judicial system and court environment setting
  • Court procedures and legal terminology, including local rules and rules on appeal.
  • The Department of Judicial Administration role in King County and the State, including the mission and vision of the department
  • Equity and social justice principles.

The ideal candidates will bring strategic leadership skills and a commitment to equity, and social justice. Utilizing strong interpersonal, networking and relationship building skills, they will build effective teams and networks across the department.

Ideal qualifications will include:

The person hired into these position(s) will be required to adhere to the policies of the Department of Judicial Administration in meeting and maintaining the standards required for providing professional, high-quality Superior Court record services, while ensuring access to justice and integrity in the process as well as other standards related to conduct.

Work Location: These positions will be based at a primary location either the King County Courthouse, 516 3rd Avenue, Seattle, and King County Courthouse located at 401 Fourth Avenue N, Kent, and will be required to divide work time between both locations, and attend occasional meetings at all clerk’s office locations.

Work Schedule: The usual work schedule Monday through Friday, 8:00 a.m. to 5:00 p.m.

Candidates are required to be available to work additional hours, which may include evenings and weekends, as needed to respond to service needs.

This position is exempt from the provisions of the Fair Labor Standards Act and is not overtime eligible.

Requirements

These roles will be responsible for:

  • Providing leadership and direction to staff in the court services and finance divisions.
    1. Taking initiative to effectively solve issues related to customer service and their team.
    2. Establishing innovative, forward-thinking processes and programs to further improve the service delivery for the people we serve.
    3. Approaching complex problems and situations with effective solutions and ideas.
  • Managing the day-to-day operations of the section by establishing work priorities, reviewing, and evaluating work, providing policy direction and guidance to staff.
    1. Multitasking effectively, demonstrating strong organizational and time management skills.
    2. Monitor section tasks and implement internal control procedures. Oversee and manage scheduling and proper section coverage.
  • Supervising, hiring, training, coaching, and mentoring a multidisciplinary, and multi-ethnic staff in a fast-paced environment.
    1. Evaluate and provide feedback about employee performance and foster employee professional development.
    2. Maintain a positive and productive work environment.
    3. Effectively manage conflict, solving complex problems with effective solutions and ideas.
    4. Create and manage employee training plans and educational opportunities.
  • Maintaining an organizational culture that is focused on a shared mission, fosters continuous improvement, and embraces equity and social justice, and is welcoming for all employees and the community.

Qualifications

These roles will require skills in:

Customer Focus: Ensure the section provides excellent services to internal and external customers. Respond to customer inquiries in a timely and professional manner. Collaborate with the management team to implement and monitor customer service criteria and develop strategies to improve our services.

Communication: Analyze and evaluate concerns in a timely manner. Provide clear direction for staff response. Communicate effectively both orally and in writing to the section team; management, and internal and external customers.

Research and Reports: Understand, research, monitor, and/or implement state, federal, local rules, and regulations, as well as King County's and the department's policies and procedures. Find appropriate resources and analyze technical information accurately. Create reports and documents for staff at various levels throughout the organization.

Technology: Utilize all Microsoft products, case management systems, and state and federally regulated programs. Be technology-forward thinking and be able to adapt quickly to technological advancements.

Policy and Procedures: Analyzing Washington RCW's, rules, statues, and federal regulations. Develop streamlined policies and procedures align with legislative updates and/or other organizational needs.

Communication and Interpersonal: Strong organizational, written, and verbal skills. Building positive working relationships with partner agencies, customers, and court personnel.

Leadership: Provide strong and effective leadership by fostering a positive work environment, engaging with employees, and generating enthusiasm and commitment to the department's mission.

Strategic Planning: Strategize, plan, and forecast challenges with staffing, services, and programs. Successfully define and create organizational plans to reach goals and objectives. Identify priorities and create measurable action items and develop workplans.

Customer Service: Extensive experience working with diverse communities and providing excellent services. Strong knowledge in applying fair and equal principles into program activities and services. Able to be innovative and provide insights on newer customer experience services.

Supervisory: Supervising day to day operations; preferably in a Court setting; including coaching, building effective teams, time management, multitasking, organization, and handling all customer service and team related issues.
