Job Description

Summary

This job is an office support role at a youth center helping at-risk and delinquent young people, where you'll handle daily administrative tasks like answering calls, scheduling meetings, managing files, and providing friendly customer service to families and visitors.

Roles and Responsibilities
  • Provide customer service when clients, family or community partners come in
  • Attend meetings and take minutes
  • Coordinate meetings, trainings and JJYS events
  • Provide administrative support
  • Work with families and youth
  • General office cleaning
  • Prepare and process documents; data entry
  • Maintain files and record keeping systems
  • Prepare and issue purchase authorizations and submit invoices for payment
  • Perform basic accounting tasks including tracking and accuracy checks of accounts payable/receivable
  • Work with people in a manner which shows sensitivity, tact, and professionalism
  • Answer and direct incoming phone calls and emails
  • Use Google Calendar to track, schedule and coordinate meetings, appointments or other office activities
  • Maintain supply inventory and assist in purchasing supplies
  • Prepare and process documents
  • Communicate information and ideas clearly, and concisely, in writing; read and understand information presented in writing
The ideal candidate is able to
  • Work independently and is able to use sound judgment
  • Maintain confidentiality
  • Multi-task and prioritize workload efficiently in order to accomplish tasks and meet deadlines
  • Has excellent communication and customer service skills.
  • Has attention to detail when reviewing documents and entering data.
  • Organized and has the ability to multi-task
  • Professional, responsible, friendly and able to work in a Juvenile Justice setting.
  • Has general knowledge of office equipment.
Preference
May be given to candidates who have advanced office skills and knowledge of JJYS's mission & goals.
May be given to candidates who are 19+ years of age
A valid Utah Driver's License

The work assignment may be in a community setting, a residential shelter or treatment setting, or in a secure youth correctional facility. The work is dynamic, challenging and rewarding as youth mature and change due to the interventions provided by Youth Development Associates and Specialists.
