Full Job Description

This employee will manage grants and contracts for a moderately complex financial system.

Job Duties Include:
  • Posting budgets in SCEIS for each assigned grant during the grant setup process and at the beginning of the fiscal year.
  • Returning budgets for assigned grants during grant close-out and fiscal year close-out.
  • Adding budgets in accordance with approved budget authority and ensuring all budgets remain within limits of awarded funding.
  • Communicating with the Grants Administrator when grant expenditures significantly exceed projections.
  • Verifying that the SAP grant budget balance is zero at the time of grant close-out.
  • Monitoring grant budgets and expenditures on a monthly basis.
  • Distributing monthly ledger reports to Principal Investigators and updating reports as necessary.
  • Preparing automated or manual monthly invoices in SCEIS based on the revenue and expenditure balances, and requesting reimbursement from awarding agencies according to invoice requirements and timelines.
  • Providing quarterly updates on grant status.
  • Working with Principal Investigators and Business Managers to prepare journal entries for payroll and other expenditures when charges are added to or removed from a grant.
  • Reviewing assigned grants to determine applicable indirect cost provisions.
  • Processing monthly indirect costs by preparing and posting journal entries in the SCEIS system.
  • Assisting the Principal Investigator in budgeting for grant proposals, reviewing the submissions for accuracy and recommending any budget corrections.
  • Submitting proposals through the Federal Agency electronic grant application.
  • Serving as a resource to the PI for budget guidelines and compliance regulations for assigned grants.
  • Preparing Federal Financial Reports (FFRs) and any other required reporting forms requested by the federal agency and submitting them electronically or manually, as specified by the agency.
  • Reviewing subrecipient agreements and completing required pre-award risk assessments.

Requirements

A bachelor's degree and business, personnel, grant-in-aid or public administration experience.

Qualifications

Experience with Systems, Applications, and Products (SAP) accounting, grants, and BEX reporting systems. Ability to review and assess complex grants and contracts independently and the discretion necessary to carry out all job responsibilities with minimal supervision.
