This position is expected to work in the office at least three days per week.We make Imagination happen. This position provides executive level support to the Director, Deputy Director, and a five-member Commission. The Executive Assistant facilitates daily operations of the Director and Deputy Director’s office to meet deadlines, issue action items, and administer necessary responses on behalf of the Director and Deputy Director. The Executive Assistant serves on the Executive Leadership Team and offers pertinent recommendations and/or suggestions as appropriate. Inherently related to all of the duties is the use of discretion, confidentiality, and integrity in all matters relative to the Agency and the Commission.
What you’ll make an impact on:- Manage complex scheduling and calendars for the Director and Deputy Director, including coordinating activities and preparing materials and briefings.
- Serve as a liaison with state agencies, constituent groups, and the public.
- Prepare materials and documentation for meetings and discussions with the Commission, legislature, and external partners.
- Coordinate all logistics for Commission meetings (regular, special, and emergency), including scheduling, locations, public notices, agendas, and timelines.
- Record, transcribe, and distribute meeting minutes.
- Arrange travel for Commissioners, the Director, and Deputy Director, and prepare related reimbursement and compensation documentation.
- Support development of the Commission’s annual budget.
- Participate in Executive Management Team meetings and coordinate weekly agendas.
- Provide administrative and project support to the Director on key agency initiatives and strategies.
