Full Job Description

We are looking for an Engineering Office Assistant 2 to assist the Grimes Resident Construction Engineer’s office with a range of administrative and support tasks, including data entry, answering phones, responding to requests, processing payments, and preparing other documents.

Location: Grimes RCE 2300 SE 17th St., Grimes, IA 50111


Shift Requirements: 7:45 AM to 4:30 PM, flex schedule available, some travel – this position may require occasional overtime.


As an Engineering Office Assistant 2, you will contribute to DOT’s mission by serving a role on the construction administration team, working on the administrative side of highway construction projects, and overseeing multiple project contracts. Your responsibilities include:

  • Perform Construction Contract Administration Assistance under the direction of the Resident Construction Engineer, which includes:
    1. Processing information in AASHTOWare program
    2. Create, review, and process daily diaries, weekly reports, and contractor payment estimates on a weekly basis.
    3. Compile and submit contract modifications, contractor evaluations, and Final Construction Pay Estimates to Doc Express.
    4. Prepare and submit project closeout documents for Resident Construction Engineer review and signature.
  • File Weekly Reports of Time Charges, Construction Pay Estimates, Subcontract Requests, Project Correspondence, Contract Modifications, and Final Documents in Doc Express.
  • Receive and screen visitors and telephone calls, answer routine questions and routes others to the appropriate staff person for handling.
  • Assist auditor with reviews and checks Contractor Certified Payrolls on Federal Aid Contracts to determine payroll complies with Davis-Bacon Wage Rates specified in the Predetermined Wage Rate Decision publication.
  • Perform RCE Audit of contract files and AASHTOWare information to ensure proper documentation is included once the field work for the contract is accepted.
  • Assist with general office needs

Qualifications

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  1. All of the following (a and b):
    1. Graduation from high school, GED, or equivalency; and
    2. A total of five years of full-time experience in highway design, maintenance, construction, or materials; or administrative support in inventory management, training programs, administrative recordkeeping or closely related areas.
  2. A total of five years of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university coursework in any field equals one year of full-time experience.
  3. Current, continuous experience in the state executive branch that includes eighteen months of full-time work as an Engineering Office Assistant 1 or three years of full-time work experience in highway design, maintenance, construction, or materials.
