The Department of Revenue's Business and Financial Services (B&FS) Division is looking to fill a Contracts Assistant position in our Contracts & Procurement Unit in Tumwater, WA. Requirements


As a Contracts Assistant, you will support the intake, tracking, correspondence, recording, and retention of agency contracts. Additionally, the Contract Assistant will support the Contract Specialists in drafting and developing contracts by ensuring all contract requests are received and processed on time, and by ensuring all customers are apprised of the expected timelines and processes involved in contract development. If selected, here are some of the other essential functions you can expect:
  • Maintain activity logs and contract records in both SharePoint and ECMS.
  • Answer telephone calls and respond to emails as needed.
  • Be a central point of contact for all contract managers and provide quarterly updates on expiring agreements.
  • Assist with updates and maintenance of the Unit’s SharePoint site and dashboard.
  • Run data inquiries on contract requests, completion timelines, and post-award management.
  • Be the initial point of contact for customer inquiries. Provide support when possible or escalate the inquiry to the Manager or Contract Specialists as needed. This includes inquiries from customers within DOR, as well as outside vendors and others.

Qualifications


The required qualifications are key competencies that have been successfully demonstrated through experience or education. To join our team, you must possess the following knowledge, skills, abilities, and competencies:
  • Demonstrated knowledge of basic contract legal requirements, contract principles and applications, with an understanding of contract terminology, practices, and procedures. This includes the ability to learn State and Federal laws and regulations governing the award and administration of contracts.
  • Proven Ability to:
    • Think critically and make informed decisions.
    • Effectively communicate both verbally and in writing.
    • Learn and interpret contract terms, requirements, and conditions.
    • Identify and understand the necessary information for contract development.
    • Develop reports using Microsoft Office products.
    • Effectively organize and prioritize workload to ensure tasks are completed on time.
    • Focus on details to ensure work products are accurate and error-free.
    • Identify different types of contracts and their authorization sources.
    • Know when to seek clarification and information from other staff and then be able to use that information in future situations.
  • Accountability and self-management: Demonstrated personal responsibility for the quality and timeliness of work.
  • Customer focus: Proven ability to understand customers and their needs; develop and sustain positive and productive customer relationships.
  • Communication: Demonstrated ability to clearly convey information and ideas; use effective listening skills to understand and learn.
  • Computer skills: Demonstrated proficiency in Microsoft Office Suite; proven ability to learn new or agency specific systems and tools (e.g.: ECMS, WEBS).
  • The ability to take action to learn and grow: This equity competency identifies people who are curious about themselves and others, who take responsibility for knowing their own strengths and weaknesses, and who use their learning to make government programs and processes more efficient and effective to serve all in Washington.
