Position Summary:The Administrative Supervisor in Central Precinct for the Portland Police Bureau is responsible for managing and directing the administrative support functions and duties for the precinct.
The Administrative Supervisor collaborates with senior management to develop and prepare precinct plans and programs. The position is responsible for developing, implementing, and evaluating programs, projects, workflows, methods and work product in alignment with the Police Bureau’s policies, procedures, and approved budget.
The Administrative Supervisor provides direct supervision to eight precinct Desk Clerks, two Sr. Police Administrative Support Specialist, and one Auto Servicer. This includes hiring, training, performance evaluation, coaching, and corrective action. The position ensures effective workload distribution, established performance standards, and promotes a professional and accountable work environment. The supervisor provides day-to-day leadership working with staff to ensure high performance which achieves the Bureau’s mission and goals. This position may also oversee sworn members on modified duty, in collaboration with the Personnel Division.
The Administrative Supervisor is responsible for ensuring the precinct front desk is adequately staffed for the operational needs of both the precinct and the bureau, covering three shifts, seven days a week, including holidays and any unplanned events. The supervisor must be available to work and respond during non-business hours as necessitated by precinct or bureau demands. This position will also be part of the Incident Management Team, which is activated on an as-needed basis.
The Administrative Supervisor must ensure the precinct is in compliance with AFCME and PPA labor agreements, City Code, personnel rules, Bureau policy and applicable federal, state and local laws. This position is responsible for setting all administrative processes and procedures and provides administrative procedural direction to all Central Precinct members. In addition, the supervisor is responsible for managing the Central Precinct facilities, fleet, and ensuring that all equipment and supply needs for the precinct are met. Requirements
The following minimum qualifications are required for this position:
- Experience supervising and/or leading administrative personnel, including training, coaching, planning and directing work, evaluating performance and supporting professional development.
- Experience administering budgets, including tracking and reconciling expenditures.
- Experience exercising independent judgement and discretion while maintaining confidentiality when handling sensitive or confidential information.
- Experience collaborating with a diverse range of stakeholders, adapting to different communication and learning styles, and building strong, productive partnerships.
- Experience applying analytical and problem-solving skills to independently develop sound recommendations and present findings clearly and persuasively to a variety of audiences, such as senior leadership, peers, direct reports and community members.
- Experience proactively identifying and resolving challenges, optimizing workflows, and adapting to changing priorities while maintaining accuracy and attention to detail.
Applicants must also posses:
- Ability to pass an in-depth background investigation.
- Ability to obtain LEDS certification and become proficient with the bureau’s record management system within three (3) months of hire.
