Full Job Description

The City of Seattle Human Services Department (HSD) is seeking a customer focused and detail oriented Administrative Specialist 1 position to provide a variety of general administrative support and data entry for the Utility Discount Program team.

This team offers eligible customers a 60% discount on their Seattle City Light bill and a 50% discount on their Seattle Public Utilities bill.

This position is responsible for maintaining logs and files, compiling and editing reports, composing routine correspondence, and gathering data just to name a few.

You are a highly efficient problem solver with strong interpersonal skills and a sharp eye toward accuracy and detail.

The Human Services Department funds and operates programs and services that meet the basic needs of the most vulnerable people in our community – families and individuals with low incomes, children, domestic violence and sexual assault victims, people experiencing homelessness, seniors, and persons with disabilities

Requirements

  • Prepare outreach materials and giveaways for events.
  • Scan applications and documents to system and SharePoint.
  • Mail back original documents to clients.
  • Research client information in multiple databases and input client information into the database.
  • Serve as a technical expert on general office machines, provide support, coordinate office machine maintenance, scheduling, and troubleshooting for staff.
  • Edit routine correspondence forms as needed.
  • Order, stock and inventory office supplies, memberships, business cards, and any specialized equipment with supervisor's approval.
  • Provide Expenditure Pre-Authorization (EPA) and process invoices.
  • Work with outside vendors for events and supplies.
  • Open and sort mail, prepare mail daily and monitor postage and prepare purchase order to maintain a sufficient balance of postage.
  • Connect laptops to the ethernet on a regular basis for system updates.
  • Take meeting notes, for staff meetings and admin meetings for the supervisor.
  • Assist walk-in clients, make copies, give them needed documents, and or get a Program Intake Rep for additional assistance.
  • Print and mail renewal postcards to clients.
  • Prepare and archive the prior year terminated applications.
  • Open and close office.
  • Participate in outreach events.

Qualifications

Minimum Qualifications:

  • 1+ years of office clerical support experience

OR: An equivalent combination of education and experience that demonstrates the ability to perform the position duties

Additional Information

The full pay range for this opportunity is $33.08 - $38.25 an hour.
