    Requirements

    This full-time position is located in Learning Commons/Tutoring Department.

    Provides administrative support for the Learning Commons/Tutoring Department, overseeing daily operations, managing the student sign-in system, and supervising student Customer Service Representatives and the Tutoring Lab Assistant.

    Maintains employment records for all Learning Commons staff and tracks, analyzes, and evaluates utilization data to identify trends and compile reports for senior leadership.

    Primary Duties and Responsibilities

    Customer Service & Administrative Support:

    • Provide administrative and operational support for the Learning Commons/Tutoring Department, including oversight of customer service and front-desk operations
    • Maintain and promote department services through web content and marketing materials in collaboration with Student Life, ensuring information is accurate, accessible, and ADA-compliant
    • Manage communications, prioritize inquiries, and proactively address operational issues
    • Coordinate with IT to support technology access and functionality
    • Oversee supplies, purchasing, budget tracking, procedure documentation, equipment research, and organization of departmental records and shared drives

    EAB Navigate System Management & Data Reporting:

    • Serve as the EAB liaison for all tutoring labs at the Lakewood and Arvada campuses, supporting kiosk and Navigate setup, maintenance, troubleshooting, and documentation
    • Oversee management of EAB Early Alert cases for the Learning Commons and Tutoring Department
    • Collect and analyze FTE and utilization data; prepare reports for the Associate Dean and Institutional Research
    • Assess tutoring effectiveness, including retention studies

    Student Worker Supervision:

    • Recruit, interview, hire, and train 8–10 student workers staffing the Learning Commons Assistant Desks
    • Recruit, interview, hire, and train the Tutoring Lab Assistant, who monitors online tutoring, creates usage reports, and provides administrative support
    • Provide ongoing supervision and training for student workers
    • Review and approve student worker timesheets

    Hiring & Employment Records Management:

    • Facilitate the hiring and onboarding process for tutors (student and variable hourly), the Tutoring Lab Assistant, and student Customer Service Representatives, ensuring all HR documentation is complete and accurate
    • Evaluate transcripts to determine tutor pay rates
    • Maintain personnel and payroll records; monitor payroll in alignment with the budget
    • Communicate payroll deadlines and e-timesheet procedures
    • Partner with HR and Payroll to resolve timesheet issues and coordinate new hire logistics, including IDs and badges

    Study Group Coordination:

    • Coordinate with Learning Commons staff to schedule rooms, arrange times, and communicate with Study Group Leaders
    • Recruit variable hourly and student hourly tutors to staff study groups
    • Establish sign-in processes, time-reporting records, session locations, and advertise session offerings
    • Provide direct supervision and support to online and in-person Study Group tutors (student hourly and variable hourly employees)
    • Approve tutor timesheets
    • Monitor study group usage, tutor attendance, and student attendance
    • Collect, analyze, and evaluate study group data regarding attendance, completion, and retention

    Minimum Qualifications:

    A current resume and cover letter are required and must be uploaded with your application.

    Experience Only:

    Three (3) years of clerical or administrative experience, including experience with budget-related tasks (supplies purchasing, inventory management, and expenditure tracking) and scheduling, and at least six (6) months in a work leader or supervisory role (e.g., assigning tasks, training staff, or overseeing workflow).

    Strong computer, organizational, and interpersonal skills are required.

    Must be able to manage multiple priorities, provide customer service, and communicate effectively with students, faculty, staff, and external partners.

    Experience using Microsoft Excel or similar spreadsheet software is required. Do not use “see resume” statements on the application. Applications must be completed in full.

    Part-time experience will be pro-rated.

    Education and Experience:College, university, or non-correspondence business school course work from an accredited institution in Business or a related field may substitute for the clerical experience as listed above on a year for year basis.

    Preferred Qualifications: Please provide a detailed description on your application of your relevant work experience and document examples of your work in relation to the following: Experience involving a wide range of clerical responsibilities.

    Working knowledge of Banner or similar system. High level of speed and accuracy regarding data entry. Attention to detail (ability to check for typographical, grammatical and spelling errors, etc.).

    Ability to handle multiple tasks simultaneously while meeting targeted deadlines. Experience with problem solving processes.

    Understand and determine appropriate rules and regulations from various sources. Knowledge in extracting information from various reports.

    Prior work experience at a community college or other academic environment. Ability to deal with a diverse population with discretion and tact.

    Necessary Special Requirements: Must submit to and successfully complete a pre-employment background check as a condition of hire.
