About the Position:
This Administrative Assistant 3 position provides comprehensive administrative and secretarial support under the supervision of the Division Administrative Assistant 4 and is assigned to the Criminal History Records Section and the Identification and Background Check Section. The position supports section leadership, supervisors, and staff by performing a wide range of administrative functions that contribute to the efficient and effective operation of both sections.

The Administrative Assistant 3 builds and maintains positive working relationships with internal and external customers through effective communication, professionalism, and high-quality customer service.

The position supports administrative processes and daily operational needs while ensuring work is completed in accordance with agency policies, procedures, and established standards.

Requirements

Our new teammate will be able to:
  • Provide administrative support.
  • Maintain calendars and schedule meetings.
  • Use independent judgment to accomplish assignments and solve problems.
  • Coordinate responses to assigned public disclosure requests, discovery demands, subpoena duces tecum, and tort claims.
  • Maintains files and records in accordance with retention schedules, and ensures the section, division, and bureau are in compliance with all records retention requirements.
  • Coordinate and make travel arrangements, such as but not limited to, hotel and flight arrangements and maintain all necessary supporting documentation.
  • Coordinate recruitment and hiring support activities, including position advertisements, interview scheduling and tracking, and preparation and maintenance of new employee documentation.
  • Maintains confidential information as it relates to personnel.

Qualifications

Required Qualifications:
  • High school diploma or GED equivalent AND two years of full-time clerical experience.
    OR
    Equivalent education/experience.
